Purpose

The purpose of this procedure is to outline the steps for a student who requests a medical or caregiver withdrawal.

Statement of the Procedure

  1. A student or their designated representative must submit the Medical Withdrawal form to the Registrar’s Office either online or in person.
  2. Students may apply for a medical or caregiver withdrawal at any point during the semester. The student must have a licensed healthcare provider complete the Healthcare Provider Documentation and submit it to the Registrar’s Office.
  3. Documentation will be accepted until 30 days following the last day of the classes.
  4. The Registrar’s Office will review the forms and documentation provided by the student and render a decision within 10 business days.
  5. Once a decision is rendered, the Registrar’s Office will notify the student’s divisional Dean and provide a copy of the documentation pertaining to the medical or caregiver withdrawal.
  6. Students who are granted a medical or caregiver withdrawal as of the census date or after will receive a letter grade of “W” for all classes taken during the approved semester and deregistered from subsequent semesters.
  7. Upon approval, a comment of “Student Granted Medical Withdrawal” will be posted to the student’s official academic transcript.
  8. Medical or caregiver withdrawals may negatively impact the student’s Satisfactory Academic Progress, and financial aid eligibility. Students who withdraw must satisfy any outstanding financial or other obligations with the College according to the New York State Refund Policy.
  9. Students may apply for a tuition appeal. If the student chooses, they can retain their matriculation status for one year, without reapplying to the College.

Definitions

  • Census Date – the date during the semester when the College verifies student enrollment for the term.
  • Medical Withdrawal – a process by which a student officially withdraws from all courses due to documented medical reasons.
  • Caregiving – a student who is responsible for providing care significantly impacting their ability to complete coursework.
  • Designated Representative – A person (E.g. family member, legal guardian, healthcare provider or another trusted individual), authorized by the student, to act on their behalf in the process of seeking a medical withdrawal from the College.
  • Documented Medical Conditions – medical conditions verified by a licensed healthcare provider that justify the need for withdrawal.
